Privacy notice

1. Who we are

H&H Process Materials is a trading name of Holland & Holland Associates Limited, a company registered in England and Wales (company number 04759022), registered office 253 North Road, Stoke Gifford, South Gloucestershire, BS34 8PW. 2. The data we collect

We are a business-to-business supplier. The personal data we handle is mainly business contact information relating to people at the organisations we deal with.

• Enquiries: name, job title, company, business email, telephone number and the content of your enquiry.
• Customers and suppliers: contact details and records of correspondence, quotations, orders, deliveries and invoices.
• Business contacts we identify: business contact details published by organisations on their own websites or in public business sources, where we consider our products or services relevant to that organisation.

We do not seek to collect special category data.

3. How and why we use it

Where we contact a business by email, we do so in line with the Privacy and Electronic Communications Regulations. Every such email identifies us and offers a simple way to opt out, and we will not contact you again once you ask us not to.

4. Who we share it with

• Service providers who process data on our behalf, such as our email and website hosting providers, under their data protection terms.
• Manufacturers and logistics providers, only to the extent needed to prepare a proposal or fulfil an order. We do not identify your organisation to a manufacturer without your agreement.
• Professional advisers and authorities where required by law, for example accountants, HM Revenue & Customs or customs authorities.

We do not sell personal data.

5. International transfers

Some service providers and manufacturers are located outside the UK. Where personal data is transferred outside the UK, we rely on UK adequacy regulations or appropriate safeguards such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, and we limit what is shared to what is necessary.

6. How long we keep it

• Enquiries that do not proceed: up to 24 months from last contact.
• Customer and supplier records: six years after the end of the relevant financial year, for accounting and legal purposes.
• Opt-out requests: retained in minimal form so that we can continue to honour them.

7. Cookies

This website does not use analytics, advertising or tracking cookies.

8. Your rights

You have the right to access your personal data, to have it corrected or erased, to restrict or object to its use (including an absolute right to object to direct marketing), and to data portability where applicable. To exercise any right, email joe@hhprocessmaterials.co.uk. We will respond within one month.

If you are unhappy with how we have handled your data, please contact us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

9. Security

We use appropriate technical and organisational measures to protect personal data, including access controls and reputable service providers.

We may update this notice from time to time. The date at the top shows when it was last revised.
